Watching a Workday Sync Job Run, Live, Inside the Dashboard

Invitation lists synced continuously from Workday HR data, rebuilt over time and migrated without disruption, with a live terminal view of the sync job itself.

The problem

This client runs leadership summits, all-hands, and recognition programs — invite-only events where the guest list comes straight from the organization’s own Workday HR data. That list has to track Workday continuously as people join, leave, or change roles. And once a background sync job runs on a schedule, someone on the client’s team needs to see whether it actually worked that day. A log file buried on a server doesn’t answer that question for a non-technical event team.

The approach / solution

  • Built Swoogo invitation-list management for this client, with the guest list synced continuously against the client’s own Workday HR data.
  • As the client’s needs grew, the invitation-list system was rebuilt and migrated over incrementally, running the new version alongside the original until cutover was complete.
  • That rebuild also brought a live, xterm-based terminal view of the Workday sync job, built directly into the dashboard. The client’s team now watches the sync run in real time and sees exactly what happened, line by line, as it happens. No more guessing after the fact.

Outcome / result

This client’s invitation lists run in active production today, kept in sync with live Workday HR data. Getting there took one incremental rebuild, migrated without disrupting live operations. The live terminal view came out of that same rebuild, and it’s the piece the client’s event team actually opens on sync day.

Why it matters for enterprise event-tech

Enterprise buyers evaluating an event-tech platform for invite-only programs want to know the guest list pulls from their own HR system. Watching a sync job work, rather than just trusting that it did, is what separates a platform an enterprise IT team signs off on from one they keep asking questions about.
