The problem
An association’s membership records live in NetForum, its association-management system, not in Swoogo. Every registration, cancellation, and add-on purchase during the event needs to reach NetForum without someone running a manual export. Once the event closes, the final numbers — who actually showed up, what they bought, how they engaged — need a second pass into the same system, cleanly, without re-triggering the live sync logic built for an event still in progress.
The approach / solution
- Built a two-way sync between Swoogo and NetForum that keeps registration and event data moving in both directions while the event is live.
- Added a dedicated post-event sync pass, run separately from the live-event sync, that finalizes NetForum’s records once the event has closed.
- Gave this client its own OAuth2 authentication endpoint, scoped specifically to its subdomain. This is one of the platform’s most integration-dense accounts, so isolating its auth path was a deliberate call, not an incidental one.
Outcome / result
The live-event and post-event NetForum syncs both run in production, through this client’s own isolated OAuth2 endpoint. Membership records stay current in NetForum whether the event is still running or has already wrapped for the year.
Why it matters for enterprise event-tech
Associations don’t buy an event platform to replace their AMS. They buy one that keeps the AMS accurate without extra manual work. A sync that handles both the live-event window and the post-event close-out, on its own isolated auth path, is the kind of AMS-integration depth an enterprise buyer checks for before signing anything.
