Checking Membership Status Before a Registrant Finishes Signing Up

A registration-time check against an association's membership database, wired to create a new membership record automatically when none exists.

The problem

A membership association selling event tickets at member pricing has one basic question to answer at registration: is this person actually a member? The association’s membership records lived in WildApricot, entirely separate from Swoogo. Without a link between the two, staff would have had to cross-check every registrant against WildApricot by hand, or trust an honor-system checkbox on the form.

The approach / solution

  • Built a membership-status check directly inside Swoogo’s own Twig templating system, triggered as part of the registration flow.
  • The check calls out to the association’s WildApricot system and returns whether the registrant already holds a membership record.
  • When no record exists, the same check creates one automatically, instead of leaving the registrant in limbo or routing them to a manual review queue.

Outcome / result

The check runs live at the moment someone registers. Membership status gets confirmed, and new members get a record created, without anyone on staff opening WildApricot to look a name up.

Why it matters for enterprise event-tech

Member pricing only works if membership status is actually verified, not assumed. An association running events at scale can’t staff a manual lookup queue for every registration — a real-time check against the membership system it already trusts is what makes tiered, member-based pricing viable without slowing registration down or leaning on the honor system.
