The problem
Assigning specific attendees or parties to specific seats or tables on a real venue floor plan takes more than a headcount. Association and conference clients running large in-person events need that assignment kept current as registrations change — cancellations, upgrades, reassignments — and they need to report on the final seating outcome once the event wraps. A spreadsheet or a disconnected third-party seating tool can’t keep pace. The floor plan drifts out of sync with actual registration data the moment someone cancels or gets moved to a different table.
The approach / solution
- Built a dedicated table/seating-management module directly inside the client’s Swoogo Dashboard account. Floor-plan configuration, table/seat mapping, and allocation logic all tie straight to the client’s live registration data, replacing the separate spreadsheet and bolt-on seating product the client used before.
- As the client’s needs grew, rebuilt the seating system and migrated it over incrementally, running the new version alongside the original until the cutover was complete — avoiding the disruption a full rewrite would have caused. That’s the same approach used across the platform’s broader frontend work.
- Added a dedicated event-registration flow for this client alongside the seating module. Registration and seating assignment now live in one system, not two systems kept in sync by hand.
- Built a reporting module specific to this client’s seating and table-allocation outcomes. Final floor-plan results can now be reviewed and exported after the event, instead of reconstructed by hand from notes.
Outcome / result
This client’s interactive seating and table-management system runs in active production today, tied directly to live Swoogo registration data, with its own registration flow and reporting module. Getting there took one incremental rebuild, migrated without disrupting live operations. It’s concrete evidence of on-site event technology built as a first-class part of the registration platform itself.
Why it matters for enterprise event-tech
On-site venue technology — seating, table allocation, floor-plan management tied to live registration data — is exactly the kind of depth that separates a platform engineer from a generalist integrator. It maps directly onto the on-site/venue-tech category enterprise event-tech buyers evaluate alongside registration, payments, and CRM sync.
