Exhibitors Don't Register Like Everyone Else — Here's the Path We Built for Them

Group registration, document uploads, booth assignment, and paid add-ons — a dedicated exhibitor path built on one Swoogo account.

The problem

A booth crew signing up for a trade show isn’t one person filling out a form. It’s several people at once — booth staff, sometimes a manager, sometimes a vendor rep — each needing their own registration record, their own documents on file, a booth assignment, and whatever paid extras the show offers that year. Running that through the same path as a general attendee doesn’t work. Group sign-up, document handling, and booth logistics are a different shape of problem.

The approach / solution

  • Built a group-registration flow so one person could register an entire booth team in a single pass, rather than each staff member signing up on their own.
  • Added document and file uploads tied to each registrant record, for exhibitor paperwork the show organizer needs on file.
  • Built booth assignment and paid add-ons directly into the same workflow, so exhibitors handle team, booth, and extras in one place.
  • The group-registration flow needed a way to keep each person’s fields straight once several registrants were being entered at once. Swoogo’s page builder only accepts Twig templates, so that mapping interface got built directly inside Swoogo’s own templating system — the front-end form staff actually use to check and correct each registrant’s fields before submitting.

Outcome / result

This exhibitor-registration path runs in production today, entirely separate from the association’s general attendee flow. Booth teams register as a group, upload their documents, get assigned a booth, and add whatever paid extras apply. One team, one pass, one submission.

Why it matters for enterprise event-tech

Trade-show and exhibition organizers live or die by exhibitor logistics. A registration platform that only handles individual attendee sign-up forces the organizer back into spreadsheets the moment a booth team shows up. Building the group flow, document handling, and booth assignment as one connected workflow — with a purpose-built field-mapping interface on top — is what separates a platform that supports exhibitors from one built for them.
